Pixel-Ponies is a service provided by JL Studio LLC d/b/a Pixel-Ponies, a North Carolina limited liability company (“we,” “us,” or “our”).
Pixel-Ponies respects your privacy. This policy describes what information we collect, how we use it, and your rights regarding your data.
Account information: Email address, display name, and date of birth (for age verification). If you log in via Discord or Google, we receive your basic profile information from those services.
Usage data: We collect information about how you use the platform, including activity logs and feature interactions, to improve the service. This includes a list of the last 50 pages you opened (your recently viewed list) and a private count, by day, of how many community database horse pages and game pages you opened. That daily count is visible only to you and is used for your year-end Round-Up (see section 2). We never show it to other members.
Performance and error data: We use Vercel Analytics and Speed Insights to measure page visits and loading speed in aggregate, and Sentry to record errors so we can fix them. Error reports can include technical details such as your browser, the page you were on, and your account ID. For a small share of visits, and for any visit where an error happens, Sentry also keeps a replay of the page activity with all text masked and images hidden, so we can see what went wrong. When a page takes more than a second and a half to change, we also keep our own anonymous note of the kind of page (never which horse or member), how long the wait was and whether you were on a phone, tablet or computer, with no account or address attached. You can turn all of this off with “Decline non-essential” in the cookie banner.
Content you add: Your collection (horses, notes, pictures and original characters), wishlists, name ideas, votes, edit suggestions, submissions, page sections, outfits and outfit likes, stories you share about a game, and gifts you send or receive, including any note you attach to a gift.
Files you import: When you use the Bulk-Sync Wizard, we read the files you choose in order to add or update horses in your collection. We keep the horse details we import and the column choices you confirm (which help us suggest columns to other members), not the files themselves.
Horse Reality pictures: When you paste your horse's picture from Horse Reality, we keep a copy of that picture and show it on your own horse. It is never shown on another member's horse. If two members add identical pictures, we store one copy. Your horse's Horse Reality page link and number are kept private.
Payment data: Payment processing is handled entirely by Stripe. We store your Stripe customer ID for account linking, but we never see, store, or have access to your full card number, bank account details, or billing address. That data lives with Stripe and is subject to their privacy policy and PCI compliance standards.
We use your information to: provide and maintain the service; enforce age restrictions; process subscriptions; send important service notifications; and improve the platform.
Automated content filtering: We automatically scan public horse profiles (names, fields, and public notes) for language that is not appropriate for all ages. Private notes are never scanned. If flagged content is detected, the entry is automatically set to private. You are notified by email when this happens. This is not a manual review. You can edit the flagged content and re-enable public visibility at any time.
Year-end Round-Up: Starting in December 2026, once a year we build a recap of your year on Pixel-Ponies from your collection, contributions, badges, and the private daily page count described in section 1. Your Round-Up is private until you choose to share it. Sharing makes it viewable by anyone with the link, including people without an account, and you can make it private again at any time. Your wishlist, your busiest days, and your friends are never included in a shared Round-Up. Members under 18 cannot share theirs. If you share an image comparing your year with a friend's shared Round-Up, your own numbers on that image can be seen by anyone you share it with.
Stories you share: If you share a story about a game, we keep your story, the consent wording you agreed to, and when you agreed. Approved stories appear on that game's page with your display name and profile picture while your profile is public, and may be used in Pixel-Ponies marketing. Stories are open to members 18 and over.
Reminders: We use your collection activity to send in-app reminders, for example when you are close to completing a set or have not synced your horses in a while. You can turn each kind off in your notification settings.
We do not sell your personal information. Your display name and collection data are visible to other members based on your privacy settings.
Outfits: Outfits are always public once our staff approve them, and anyone can see them, including people without an account. An outfit shares its pictures, name, second line, notes and five colors, the horse it is on, its likes, and your display name. If your profile is private or hidden from the site, your outfits still show, with your name as “Private member”. If the horse is private, the outfit shows the community database horse linked to it, or “Private collection horse”. Our staff review every new outfit, and every outfit whose pictures change, before anyone else can see it. Until they approve it, only you and our staff can see it, and a picture you upload for it is stored privately. If our staff decline the outfit, the pictures you uploaded for it are deleted. When someone likes your outfit, we tell you, but never who liked it.
Third-party services: We use the following services to operate the platform, each with their own privacy policies: Stripe (payment processing, handles all billing data), Supabase (database hosting), Cloudflare (security, performance, and bot checks), Discord (authentication and notifications), Google (authentication), Resend (emails), Vercel (website hosting, analytics, and performance measurement), Sentry (error tracking), and YouTube (game trailers, played through its privacy-enhanced mode). We share only the minimum data necessary for each service to function.
Staff access: Authorized support staff may access your account information (display name, email address, collection data) to assist with customer support requests. Support staff do not have access to your payment details, which are handled entirely by Stripe.
You can control the visibility of your collection (public or private) and your wishlist (private by default) through your account settings. Private notes on collection entries are never visible to other members.
Pixel-Ponies is intended for members age 13 and older. We do not knowingly collect personal information from children under 13. If a person indicates they are under 13 during account creation, access is denied and no personal data beyond the date of birth is retained (for enforcement purposes only). If you are a parent or guardian and believe your child under 13 has created an account, please contact us and we will promptly delete the account and all associated data.
Members between 13 and 17 are flagged as minors. Certain content may be restricted for them. If you are under 18, your parent or guardian should review this privacy policy and our terms of service.
If your subscription lapses, your data is preserved for 30 days at full visibility, then hidden for up to 365 days. After 366 days without renewal, your data may be permanently deleted. Images you upload with the Image Add-On are kept while you have it. When it ends, they stay for 30 days, then we remove them, along with any outfit that uses one. You may request deletion of your account and data at any time.
We take reasonable measures to protect your personal information, including encryption in transit (HTTPS), secure authentication (OAuth 2.0 with PKCE), server-side session management, and rate-limited API endpoints. Payment data is handled by Stripe, which maintains PCI DSS Level 1 certification.
In the event of a data breach affecting your personal information, we will notify affected members as required by applicable state and federal law. We are committed to transparency and will provide details about what data was affected and what steps we are taking in response.
Depending on where you live, you may have the following rights regarding your personal data:
Access and portability: You can request a copy of the personal data we hold about you from your account settings (an instant download, once every 30 days), or by contacting us at support@pixel-ponies.com, and we will provide your data in a commonly used format (JSON) within 30 days.
Rectification: You can update your display name through the platform (subject to a 30-day cooldown). For other corrections, contact us.
Deletion: You can delete your account at any time through your account settings. This permanently removes all your personal data, collection entries, and associated content. You may also contact us to request deletion.
Objection and restriction: You can object to our processing of your data or request that we restrict processing in certain circumstances. Contact us to make such a request.
We process your personal data on the following bases: your consent (provided when you create an account and agree to our terms); legitimate interest (operating and improving the platform, preventing fraud, ensuring security); contractual necessity (providing the service you signed up for, processing subscriptions); and legal obligation (complying with age verification requirements, responding to lawful requests).
Pixel-Ponies is a service of JL Studio LLC, operated from the United States. Your data is stored and processed in the United States via our service providers (Supabase, Vercel, Stripe). If you are located outside the United States, your data will be transferred to and processed in the United States. By using our service, you consent to this transfer. Our service providers maintain appropriate safeguards for international data transfers, including Standard Contractual Clauses where applicable.
We use essential cookies for authentication and session management. Our visit and speed measurement (Vercel Analytics and Speed Insights) and our own note of slow page changes do not use cookies. They and Sentry stop if you choose “Decline non-essential” in the cookie banner. We do not use third-party tracking or advertising cookies.
We may update this policy from time to time. We will notify you of significant changes via the platform or email.
